GoGecko is working in Partnership with Espresso Solutions to find an Executive Assistant / Business Admin Manager to join their team.

Espresso Solutions have been supplying the UK’s engineers, cafés, roasteries, baristas and coffee professionals with the tools they need to stay on top of their game since 2012; providing coffee machine parts to cafe supplies, water treatment, barista tools and customised machines to the UK coffee industry. They have recently seen rapid growth, moved to larger premises, and are now expanding their team.

We are seeking a highly organised, proactive, and dynamic Executive Assistant/Business Admin Manager to support the MD. This role is pivotal in ensuring smooth daily operations, effective time management, and seamless coordination of both professional and personal tasks. The ideal candidate will be a strong communicator, a meticulous planner, and love a great cup of coffee.

 

  • Managing MD’s calendar, scheduling meetings, appointments, and travel arrangements.
  • Acting as the primary point of contact between MD and internal/external stakeholders.
  • Preparing meeting agendas, minutes, and follow-up actions.
  • Handling confidential information with discretion.
  • Managing personal appointments, reservations and tasks as required.
  • Overseeing daily company operations to ensure efficiency and productivity.
  • Coordinating administrative tasks such as filing, invoicing, and correspondence.
  • Assisting in the preparation of reports, presentations, and other documents.
  • Supporting the management of projects, including timelines, budgets, and resource allocation.
  • Tracking project progress and providing regular updates to MD and the team.
  • Facilitating communication between project stakeholders to ensure alignment and resolve issues promptly.
  • Planning and organising company events, exhibitions, and client meetings.

Who are we looking for?

Someone with…

  • Proven experience as a Personal Assistant, Executive Assistant, or similar.
  • Exceptional organisational and time-management skills.
  • Strong verbal and written communication abilities.
  • Proficiency in office software (e.g., Microsoft Office, Google Workspace).
  • Ability to multitask and prioritise effectively in a fast-paced environment.
  • Discretion and confidentiality.
  • Basic understanding of project management principles.
  • Flexibility to adapt to varying tasks and changing priorities.
