Priavo Security is seeking an Executive Assistant to join our expanding private security firm. The Executive Assistant will provide high-level administrative support to the owners and directors by managing schedules, coordinating meetings, handling confidential information, and facilitating smooth day-to-day operations. This role requires exceptional organisational skills, a pro-active approach, attention to detail, discretion, and the ability to handle multiple priorities in a fast-paced environment.

  • Education: A bachelor’s degree in Business Administration, communications, or a related field preferred.
  • Expertise: A minimum of 5 years’ proven experience as an Executive Assistant or similar role.
  • Strategic Organisation: Strong organisational skills, time management, attention to detail and ability to proactively manage priorities effectively. Flexibility and adaptability to changing business needs.
  • Effective Communication: Excellent written and verbal communication skills are required to represent the Priavo Group across all stakeholder interactions.
  • Problem-Solving: Demonstrated ability to think critically and solve challenges.
  • Tech Proficiency: Advanced proficiency in Microsoft Office Suite and proven expertise in CRM, Database and Project Management software is necessary.
  • Document Control: Skilled in preparation, management and tracking of accurate, transparent records.
  • Confidentiality: Proven track record of handling sensitive information with discretion and integrity.
  • Compliance: Knowledge of compliance standards are preferred to ensure the company operates within legal, ethical, regulatory and Health & Safety parameters.

  • Executive Assistance: Manage and maintain the Director’s calendar, scheduling appointments, meetings, follow ups, and travel arrangements. Anticipate the Director’s needs and provide proactive support in both personal and professional matters.
  • Personal Administration: Provide proactive personal administrative support to the co-founders by booking and managing personal holidays, schedules, travel, events, appointments, and gifting with discretion and efficiency.
  • Strategic Meetings: Coordinate and facilitate meetings, including preparing agendas, taking minutes, and following up on action items. Handle confidential and sensitive information with the utmost discretion and professionalism.
  • Office Management: Efficiently oversee office operations, ensuring a well-organised, productive, and professional work environment. Focused on optimising administrative processes, coordinating resources, booking team events, and supporting our employees to work happily and healthily.
  • Project Support: Performing other administrative tasks and special projects support as assigned, to include financial administration and charitable project support.
  • Communications: Where relevant, act as the primary point of contact for internal and external communications on behalf of the Directors, liaising with key stakeholders where relevant.
  • Documentation: Conduct research and compile data to support strategic decision-making. Prepare, review, and distribute correspondence, reports, presentations, and other documents.

This role requires flexibility to adapt to business projects, which will involve additional or variable hours.

While primarily office-based, this position also offers the potential for remote working.

This role plays a crucial role in delivering high-quality assistance, allowing the owners to focus on strategic priorities. The ideal candidate will have a strong background in administration, project coordination and time-management, ensuring a well-organised and stress-free environment that enhances productivity.
